  • We are seeking a detail oriented, committed problem solver with strong communication skills who relies on experience and judgement to plan and accomplish goals.
Essential Duties

 

  • Receive and screen telephone calls and visitors, assist with incoming inquiries, and resolve issues using knowledge of department policies and procedures.
  • Serve as a liaison between managers and employees, schedule appointments, meetings, and conferences.
  • Compose correspondence, edit documents, and take and transcribe minutes of meetings as necessary.
  • Research, compile and prepare data for administrative reports and presentations.
  • Prepare presentations and reports for meetings, which may include setup of A/V equipment.
  • Assist with scheduling domestic and international travel and expense reports.
  • Set up purchase orders and monitor document workflows. Ensure proper settlement of expenses.
  • Plan and coordinate functional meeting logistics including, but not limited to: Meeting logistics, i.e. coordinate schedules, prepare agenda, arrange catering, arrange outside events; Preparation and distribution of materials; May serve in capacity as facilitator or scribe; Action item management.
  • Project coordination and assignments as requested.
  • Circulate mail, records, publications, and order and maintain department’s office supplies.
  • With advanced knowledge of filing systems, create, maintain and update department files, records and publications.
  • Perform copying, collating, binding, packaging, etc., and disseminate routine and other documents as requested by department personnel including mail/messenger/meeting preparations.
  • A certain degree of creativity and latitude is required.
  • Office professionalism required.

Training & Experience

 

  • High school diploma required; however, we prefer someone with Secretarial or Business School training.
  • Minimum 6 years administrative experience or equivalent combination of training and experience are necessary.
  • A minimum of 2 years supporting a manager or director.
  • Intermediate computer skills, especially the Microsoft Suite.
  • Basic knowledge of standard office equipment.
  • Strong interpersonal and relationship building skills with adaptability to work with people from various cultures and areas of the business
Working Conditions

 

  • The position will sit in the Greenwood Village, CO Corporate Office.
