Purpose

  • Under general supervision, perform a variety of secretarial duties for a manager, requiring knowledge of department policies and procedures.
  • Relies on instructions and pre-established guidelines to perform functions of job.
     

Essential Duties

  • Receive and screen telephone calls and visitors, assist with incoming inquiries, and resolve problems using knowledge of department policies and procedures.
  • Serve as a liaison between managers and employees and schedule appointments and meetings.
  • Draft correspondence, edit documents, and take and transcribe minutes of meetings as necessary.
  • Research, compile and prepare data for administrative reports and presentations.
  • Domestic and international travel and expense reports.
  • Generate requests for payment and code and enter data.
  • Simple project coordination and assignments as requested.
  • Circulate mail, records, publications, and order and maintain department’s office supplies.
  • With advanced knowledge of filing systems, maintain and update department files, records and publications.
  • Perform copying, collating, binding, packaging, etc., and disseminate routine and other documents as requested by department personnel including mail/messenger/meeting preparations.
  • Office professionalism required.

Training & Experience

  • High school graduation
  • Minimum 4 years clerical/secretarial experience or equivalent combination of training and experience are necessary.
  • Secretarial/business school training is desirable.
  • Basic computer skills.
  • Basic knowledge of office equipment.
